Position Overview

Tropolis is seeking a Group Employee Benefits Analyst to join our Benefits team in Madison, Wisconsin. This role is designed to function similarly to a Commercial Lines CSR, but in support of our employee benefits business. The Employee Benefits Analyst will play a key role in day-to-day client servicing, renewal support, carrier coordination, data and document management, and internal team execution. This person will help ensure a high-quality client experience while supporting Account Managers, Producers, and agency leadership in delivering responsive, accurate, and timely service.

The ideal candidate is detail-oriented, organized, client-focused, and comfortable managing multiple priorities in a fast-paced agency environment. This role is well-suited for someone who enjoys the operational side of benefits service and wants to grow within a collaborative, service-driven team.

Employment Type: Full-time

Compensation range: $55,000 - $65,000 

Work model:  5 days per week during the first 90 days to support training and onboarding. Following that period, the role may transition to a hybrid schedule of 3 days per week onsite. 

What you will do

 Client service and account support

  • Support the Benefits team with day-to-day servicing needs for employee benefits clients
  • Assist with policy and plan changes, eligibility updates, employee enrollments, terminations, ID card requests, and other service transactions
  • Respond to client and carrier requests in a timely, professional, and accurate manner
  • Prepare client materials, spreadsheets, summaries, and supporting documentation for renewals, open enrollment, and ongoing service needs
  • Help ensure client records, plan information, and service activities are documented accurately and maintained in agency systems

 Renewal and marketing support 

  • Assist with renewal preparation, gathering underwriting and census information, and organizing required documentation
  • Coordinate with carriers and vendors to obtain quotes, renewal terms, plan comparisons, and supporting materials
  • Review proposals and plan documents for accuracy, completeness, and consistency before client delivery
  • Support the team in preparing renewal presentations, employee communication materials, and implementation checklists
  • Track timelines and help ensure key renewal and service milestones are completed on schedule

 

 Carrier, vendor and internal coordination

  • Serve as a point of contact for routine communication with carriers, vendors, and internal stakeholders
  • Follow up on outstanding items, service requests, and administrative issues to help keep accounts moving efficiently
  • Partner with Producers, Account Managers, and leadership to support account retention and overall client satisfaction
  • Escalate complex issues, service concerns, or compliance related matters appropriately

 Data, reporting and process support 

  • Maintain organized, accurate files and documentation for all client activity
  • Assist with audits, reporting, and data validation related to employee benefits accounts
  • Support internal process consistency and help identify opportunities to improve workflow, accuracy, and service delivery
  • Contribute to the team’s overall operational effectiveness through strong follow-through and attention to detail

 

Qualifications

Required

  • Bachelor’s degree preferred, or equivalent relevant experience
  • 2+ years of insurance agency, employee benefits, group health, or client service experience preferred
  • Experience in an employee benefits support role, account coordination role, or similar service position is strongly preferred
  • Strong organizational skills and ability to manage multiple tasks and deadlines
  • Excellent written and verbal communication skills
  • High level of accuracy and attention to detail
  • Experience with agency management systems, carrier portals, and benefits administration platforms is a plus
  • Current Wisconsin insurance license
